Personal data that may be collected
The personal data we register about you in a business context is limited to information typically found on a business card – name, job title, company, address, email address, and telephone number. In some cases, we may also ask you to provide additional work-related information, such as industry or company size.
When you visit our website, certain information may be automatically collected and stored through cookies and similar technologies. This may include IP address, geographic location, browser type, and usage information.
How we collect personal data
We collect information when you fill out a form to download, for example, a technical document, follow our blog, subscribe to newsletters, or provide other information on our website – such as registering for webinars, events, or seminars via contact forms.
We also collect information when you purchase and/or use our software products or services. This is done in order to deliver the services you have ordered, send you important operational information, fulfill contractual obligations, process financial transactions, and comply with legal and regulatory requirements.
We cooperate with marketing partners who collect information about your behavior on our website in order to deliver interest-based advertising on our behalf. We do not share personal data directly with these partners. However, if you have registered for services with them (for example LinkedIn), you may have shared information with them through their own platforms.
Visits to our website
You may visit our website without sharing personal data. Formpipe uses Hubspot, GA4 and cookies to improve our services and analyze how the website is used. The information collected and shared with us by Hubspot/GA4 consists of anonymized traffic data, such as browser type, device, and language. This information is used to understand how the website is used.

If you choose to contact us via our website, we may store your contact information in our CRM system. Any information you submit through a form is registered and stored so that we can contact you and respond to your inquiry. When you contact us, we may link your user history to the website to optimize the user experience (for example through improved navigation and content delivery). This information is stored for up to two years.
Event registrations
Registrations for events are handled through our marketing automation tool and shared with our CRM system and the system used for event management. Your personal data is processed both within and between these systems. The information is stored for five years before being automatically deleted, unless you request deletion earlier.
Email communication
If you contact us via email – whether as a customer, partner, or for other purposes – your email address will be processed for the purpose of handling your inquiry. How your personal data is processed and how long it is stored may vary depending on the legal basis Formpipe has for processing your request.

Your personal data is stored in our recruitment system for one year and then automatically deleted, unless you choose to remain registered.
If you register in Formpipe’s candidate management system, your information is stored for two years before being automatically deleted. If you consent to receiving information about future recruitment opportunities, we may retain your data for a predefined period in order to contact you regarding relevant job openings.

We apply established practices in accordance with applicable privacy laws and regulations, including the General Data Protection Regulation (GDPR). The legal basis for processing your personal data is legitimate interest (such as analysis of website traffic), and in some cases your consent (typically for marketing purposes, job applications, and similar activities).
Where consent is required, you will be asked to explicitly approve it during registration. In other cases, the legal basis may be the performance of a contract with you or your employer, for example if you are a customer.
Formpipe will process your personal data only as long as necessary and solely for the purpose for which the data was provided. If the purpose is no longer relevant, or if you withdraw your consent, Formpipe will delete the relevant data.
